Accounts and member records

Account registration collects your name and a unique email address so GameBall can identify the person responsible for the login, provide support, and connect access across GameBall services. One account is permitted per email address.

An account is separate from a player or participant record. Date of birth is not collected to create a basic account or activate handbook access. It may be requested later for a team or organization record when an identified age, division, eligibility, or operational purpose requires it.

Amazon handbook Vault activation

When you request Digital Vault access from an Amazon handbook, GameBall collects your account identity, handbook access code, Amazon Order ID, and the order-confirmation screenshot you submit. This is used to verify the purchase, prevent reuse of an Order ID, and grant the matching Vault access.

The proof image is stored outside the public website, is available only to authorized GameBall administrators, and is deleted after the claim is approved or rejected. The Order ID and review result are retained to protect the one-use activation system. Do not include payment-card numbers or unrelated information in the screenshot.

How Online Management information is used

• Provide the team, league, tournament, family, and Digital Vault workflows you use
• Apply role-specific access and connect authorized participants
• Deliver invitations, notifications, support, and service messages
• Maintain operational history, acknowledgements, and security records
• Test and improve the Founding Pilot with feedback from approved participants

Who can see team information

Access depends on the GameBall account, organization membership, assigned team or competition role, and the privacy level of the record. Managers, Coaches, Trainers, Treasurers, families, players, league officials, and tournament organizers do not automatically receive the same access.

A league or tournament organizer may receive team identity, event roster, staff, schedule, result, eligibility, and communication information required to run that competition. Organizer-sponsored participation does not provide access to family contact lists, medical or emergency information, team finances, or unrelated private Team HQ records.

A team role alone does not unlock paid Digital Vault downloads. Handbook and Vault access are verified separately.

Service providers and disclosure

GameBall uses service providers for website hosting, database services, email delivery, file storage, and payment processing. Stripe processes Complete Vault payments and calculates applicable tax using the billing information supplied at checkout. These providers receive only the information needed to perform their service.

GameBall does not sell personal information. Information may also be disclosed when required by law, to protect the service or its users, or with the direction of the authorized account or organization.

Retention, correction, and deletion requests

Records are retained while needed to operate the selected GameBall service, maintain security and audit history, support billing or purchase verification, or meet an applicable obligation. Pilot and product practices may be refined before broad paid release.

To ask about information connected to your account, request a correction, or request a review of information that may be eligible for deletion, email admin@gameball.ca from the email address attached to your account.

Children and youth information

GameBall accounts are intended for adults and for other users participating with appropriate parent, guardian, or organizational authorization. Children should not create accounts or submit personal information independently.

An authorized adult or organization is responsible for deciding when a youth member record is needed, providing required notices, obtaining parent or guardian authorization, and limiting access. GameBall does not ask for a birth date during basic account creation.

Launch updates and email consent

The launch-update form records your email address, selected interest, consent date and wording version, plus any optional context you provide. This consent is separate from account registration and service messages.

You may withdraw launch-update consent at any time by emailing admin@gameball.ca. Future commercial messages must identify GameBall and provide a simple way to unsubscribe.

Hosting and processing outside Canada

GameBall currently uses third-party website and database hosting services. Information may be stored or processed outside Canada, including in the United States, and may therefore be subject to the laws of the jurisdiction where it is processed.

Other providers—including email delivery, Stripe payment and tax services, or file services—may also process only the information needed to provide their service.

Cookies, safeguards, and accountability

GameBall uses essential authentication, security, and session cookies needed to keep you signed in and operate the service. GameBall does not currently describe optional advertising or analytics cookies as part of this launch.
